The moment an employee submits a document to an AI service, a business information decision has been made. Understanding that decision requires more than knowing the name of the application on the screen.

Where is the information processed? How long are prompts, attachments, and outputs retained? Who can access them? Which providers help deliver the service? What settings and contractual commitments apply to the account being used? These questions may have different answers across products and subscriptions.

Map the complete journey for a few representative tasks. A meeting transcript, a customer contract, and an internal forecast may each follow different paths. Include connected storage, plugins, external actions, sharing links, and any destination where the output is saved.

Translate that understanding into usable rules. Employees need to know which tools are approved for which information and what to do when a task falls outside those boundaries. Administrative settings and access controls should reinforce the approved process.

Procurement, legal, information owners, and technology teams need to compare their assumptions. A vendor promise in a sales meeting should be checked against the actual service terms and configuration. Revisit the assessment when the service or its integrations change.
